20. One-time purchase of books, serial backfiles, and other materials $

Published material in all formats, including videos and DVDs, but NOT current subscription costs.   Include acquisition of access rights.   Include database  ONLY if it is NOT a subscription.  Do NOT include expenses for computer software.

20a. E-books (if available) $

This is a subcategory of 20.   If you can identify what you spent on e-books from Question 20, please include it here.

"Report one-time expenses for triggered patron-drive acquisitions (PDAs) in question 20 and in question 20a if it is an e-book. Do not report funds in deposit accounts as expenditures until the library receives something from the deposit." ACRL instructions p. 6-7.

21. Ongoing commitments to subscriptions $

Ongoing expenses for serials in ALL formats.  Include abstracting and indexing services. Include databases that have an annual fee. Include government documents if they are accessible through the catalog.  Include journal transfers reported on tab above. This is where you include your Ebsco serials invoice and the cost of local database subscriptions reported on the ERAC survey. Report Kanopy triggers for leases here.

21a. E-books (if available) $

           This is a subcategory of Q21.  Include information from journal transfers tab (including the STEM allocations below the blue line)

21b. E-journals (if available) $

           This is a subcategory of Q21.  Include information from journal transfers tab (including the STEM allocations below the blue line).  ACRL: include subscription databases that are "primarily comprised of e-journals."

22. All other materials/service cost $

Include serial/service costs not already reported.  Examples:  document delivery/ILL costs, including shipping and replacement costs; Short Term loans for ebooks; PDA/DDA programs; copyright fees; any other expenses for information resources; bibliographic management services (i.e. EndNote – if from the library budget); Question Point.

23. Total materials/services expenses calculated sum of 20, 21 and 22 Operations and maintenance expenses

This will automatically be calculated.

24. Preservation services $

Binding costs, any special collections costs for preservation, de-acidification, lamination, restoration.  Include digitization expenses.

25. All other operations and maintenance expenses $

Include expenses not otherwise reported.   Examples:  office supplies, computer hardware and software from library budget; bibliographic utilities (OCLC), networks and consortia. Include SerialsSolutions, Libguides add-ons (with the exception of Libguides CMS and Reserves--paid for by OLS), and Metro membership fees. (Hunter--see journal transfers tab to include column N of the Journal transfers spreadsheet for Empire Delivery). Include ExLibris Primo cost from the Journal Transfer tab report.

Do not report OLS expenses on behalf of the campuses here. The external expenditures report is for your information only.

26. Total operations and maintenance expenses calculated sum of 24 - 25

This will automatically be calculated.

27. Are expenses reported in Canadian dollars?

No for all libraries
