CUNY Aleph Catalog Optimization Projects: Past Projects

Previous or Ongoing Catalog Optimization Projects

(All have been begun; most are already completed.)

Acquisitions / Serials

  • Complete / close long standing open orders (monograph, serials, and standing) that no longer represent an actual open order
  • Move orders / budget transactions out or retired sub-libraries
  • Expand Collection Development policy to include removal of materials that a library no longer holds
  • Correct Expected Issues / Serials Patterns for discontinued subscriptions
  • Removal of unused Vendors

Cataloging

  • Review and correct Temp locations where needed
  • Correct Public notes on 856 & 852 records
  • Correct duplicate barcodes
  • Review collection code in Aleph tables compared to DB
  • Identify local fields that need preparation for preservation. [$9 LOCAL]
  • Correct OWN codes which are incorrect, including not matching Holdings OWN field
  • Correct STA fields
  • Add sub-libraries and collection codes to all items
  • Fix UNKWN collection codes
  • Review existing collection code structure
  • Repair holdings in invalid / retired collection codes
  • Consolidate Sub-Libraries
  • Move remaining holdings out of retired sub-libraries
  • Remove duplicate holdings
  • Remove holdings without items
  • Bibs missing item / holdings records
  • Prepare to print to electronic record conversion
  • Link items with holdings
  • Correct items without Holdings records
  • Item Loc and Sub-library must match 852 $b & $c
  • Review handling of Electronic Government documents

  • Clarify how to best handle the way that "Bound with" and Analytics records translate in a migration

Circulation

  • Review existing Circulation policies
  • Remove credits on patron accounts
  • Remove long expired patrons with small remaining charges
  • Remove expired patrons
  • Complete Inventory of Reserves and correct listings in cataloguing
  • Remove inactive Course Reserves items & courses

General (across areas of the library)

  • Correct Bibliographic records suppressed for a variety of reasons (including adding items / holdings)
  • Inventory of Suppressed records to evaluate for campus preferred clean up solution
  • Aleph Item Status / Collection – Policy Sync
  • Correct Item Process Status as needed
  • Develop local storage of essential reporting
  • Move FROM loading of electronic records into the catalog TO expanded use of PCI & SFX
  • Replace Item Process Statuses with alternative approaches as needed
