CUNY LIBRARIES ARE OPEN both ONLINE and on campus! We are open online for reference & instruction. E-resources are fully available. CUNY Libraries physical spaces are also open for quiet study, computers and wifi, materials pickup, and more. Please note that library plans are subject to change based on the evolving pandemic situation and plans at each campus. At this time, due to the pandemic, campus access (including libraries) may be restricted to each campus’ current students, faculty and staff. Some libraries require reservations. Please check our College Libraries page for details about the library you plan to visit.

CUNY Aleph Catalog Optimization Projects: Items Without Collection Codes

Purpose

Items found without Collection Codes and Aleph sub-libraries will not be migrated, as stated in writing by the vendor. These items should be corrected each month to ensure all a smooth migration.

Recommended Target Date for Completion

On the 4th of every month, review unassigned_items to assign collection codes to items temporarily assigned to UNKWN collection. Review any discernible patterns for the creation of these items to improve workflows and better train staff.

Project Description

Any items found without location codes are assigned temporarily to collection UNKWN. These items are listed on the fourth of each month in a report named unassigned_items in Aleph Task Manager. They can also be found using a CCL search: WOW=XX and WCL=UNKWN

We recommended that someone from each library check these holdings / items monthly in order to:

  • Correct holdings / items records to receive a proper 852 $c
  • Once reviewed, remove the Item Process Status and Temporary locations flag
  • Review workflows and provide training for staff

A recommended plan would be to complete this before June 26, 2020.
